The Athena Square HOA Resident Portal (“Portal”), operated by Felix Property Management, collects the following information:

  • Name and email address
  • Property/unit address
  • Maintenance requests and related descriptions
  • Photos uploaded with maintenance requests
  • Identity verification documents (deed, lease, utility bill, photo ID)

How We Use Your Data

  • HOA operations and community management
  • Contractor coordination for maintenance requests
  • Property records and unit directory management
  • Communication about HOA matters via email

Data Retention

  • Maintenance records: retained for 7 years for compliance and historical reference
  • Identity verification documents: deleted promptly after account approval
  • Account data: retained while your account is active; deleted upon request

Artificial Intelligence

The Portal uses AI (Anthropic Claude) to generate cost estimates for maintenance requests. These estimates are for informational purposes only and are not guaranteed. AI estimates should not be relied upon as professional quotes. Always obtain formal bids from licensed contractors.

Email Communications

The Portal sends emails from two addresses:

  • noreply@handymanfelix.com — transactional emails (sign-in links, invitations, confirmations)
  • ops@handymanfelix.com — operational emails (account approvals, notifications, board alerts)

Third-Party Services

We use the following third-party services to operate the Portal:

  • Supabase — database, authentication, and file storage
  • Vercel — application hosting and deployment
  • Anthropic — AI-powered cost estimation
  • Google Workspace — email delivery and OAuth authentication
  • Twilio — SMS and voice communication
